We run an efficient operation,  with 18 team members managing over a billion dollars in assets. We are seeking a Director of First Impressions who is as committed as we are to clients and growth, both personally and professionally. 

Position Overview:
The Director of First Impressions is central to enhancing the welcoming atmosphere of KWB Wealth and reflects KWB’s guiding principles. It is pivotal to shaping positive client, prospect, business associate and team experiences. The Director of First Impressions is ideally suited for a reliable and responsible person with a professional mindset and approachable demeanor. No financial services experience required. Key Responsibilities:


Visitor Management:

  • Greet and assist visitors, clients, and team members in a warm and sophisticated manner.
  • Ensure a positive and memorable experience for all visitors to the office.
  • Provide information and assistance to visitors, directing them to their respective contacts.

Office Image Management:

  • Maintain a clean, organized, and professional front desk area.
  • Keep the reception area, conference room and meeting rooms clean and supplied with necessary office and hospitality supplies (pens, note pads, beverages, snacks, etc.)
  • Ensure the reception area reflects the brand image of KWB Wealth.
  • Keep restrooms clean and stocked with appropriate supplies.
  • Clean breakroom sinks and counters daily, clean refrigerator every Friday.

Communication Management: 

  • Manage incoming calls, redirecting them to the appropriate department or individual.
  • Answer multi-line phone system; screen and relay incoming calls and messages to the appropriate party; Scheduleand confirm appointments, internal and external meetings, and applicable events.
  • Serve as the central point for communication within the office.
  • Coordinate with various departments to relay messages and information effectively.
  • Update breakroom calendar monthly with events, holidays, and birthdays.
  • Email the CEO’s calendar home for the following day before leaving and every Friday for the next 3 months.

Administrative Support:

  • Provide support to office managers and executives as needed.
  • Assist with social media posting and event planning/execution.
  • Data entry and document preparation using Word, Excel and other Microsoft Office software.
  • Enter data into Salesforce (CRM), scan files and save in SharePoint.
  • Handle incoming and outgoing mail and packages – sort and distribute incoming mail, make hard and digital copy records, apply postage, and take outgoing mail to post office and FedEx daily.
  • Operate and manage maintenance of standard office equipment including copy machine and postage machine.
  • Mail Client Review Offer Letters; process client address changes; follow up on new accounts per formal procedures.
  • Write check receipts when requested.
  • Order office supplies.

Qualifications:


  • Discretion in dealing with highly sensitive, highly confidential client information.
  • Exceptional communication skills, in person, in writing and over the phone.
  • Proficiency with office equipment and basic computer software.
  • Strong organizational and multitasking abilities.
  • Flexibility and eagerness to assist with a variety of tasks.
  • Dependability, self-motivation, and willingness to take initiative in all areas.
  • Attention to detail with a perfectionist eye.
  • Commitment to team collaboration and success.
  • Ability to determine priorities and perform with a sense of urgency.
  • Comfortable communicating early and often with team members.

Education/Experience:


  • High school diploma or general education degree (GED).
  • Associate or bachelor's degree advantageous.

Salary
$45,000 – $55,000  (dependent on knowledge and experience)
